About the Role
Our client is seeking a highly organized and proactive Leasing & Onboarding Coordinator to manage the full tenant acquisition and onboarding process for our residential rental portfolio. This role combines marketing expertise, administrative precision, and a strong customer service mindset to ensure prospective tenants have a seamless experience — from initial inquiry through move-in day.
You will play a central role in maintaining occupancy rates, ensuring compliance, and setting the tone for a positive tenant relationship from the very start.
Key Responsibilities
Marketing & Lead Management
Create, update, and manage property listings on Realtor.com, Zillow, Homes.com, Apartments.com, Facebook Marketplace, Instagram, and other platforms.
Monitor listing performance, adjust photos, descriptions, or pricing strategies to optimize lead quality.
Respond promptly to all calls, emails, and messages, providing property details and scheduling showings (virtual or in-person).
Application & Leasing Process
Collect rental applications and supporting documentation from prospective tenants.
Conduct background, credit, and rental history checks to qualify applicants.
Draft, send, and manage lease agreements, renewal agreements, and addendums.
Ensure signed leases and renewals are completed in a timely and organized manner.
Move-In Coordination
Contact utility companies to facilitate service transfers for incoming tenants.
Set up and onboard new tenants in the resident portal (lease documents, payment setup, maintenance requests).
Provide tenants with move-in instructions and ensure the unit is ready in collaboration with the property and maintenance teams.
Collaboration & Reporting
Work closely with the property management team to track leasing and onboarding progress.
Participate in weekly property management meetings to report on occupancy, leasing activity, and tenant feedback.
Maintain organized digital records of all communications, leases, and onboarding tasks.
Qualifications
Prior experience in leasing, property management, or residential real estate strongly preferred.
Excellent communication and interpersonal skills — able to handle multiple prospects and tenants simultaneously.
Strong organizational and multitasking abilities with close attention to detail.
Tech-savvy and comfortable using digital tools for applications, screenings, and document signing.
Ability to maintain confidentiality and professionalism when handling sensitive tenant information.
Technology & Tools
Experience with property management software (e.g., AppFolio, Yardi, Buildium)
preferred.
Familiarity with listing platforms and marketing tools (Zillow, Facebook, Instagram, Apartments.com, etc.).
Comfortable using CRM or lead-tracking software.
Proficiency with email, online portals, and common productivity tools (Google Workspace / Microsoft Office).
