Schedule: Monday – Friday, 9:00 AM – 5:00 PM
EST Time-Zone
Compensation: $800 - $1800, depending on skills and experience
About the Role
Our client is seeking a highly organized and customer-focused Tenant Onboarding Administrator to manage the onboarding and offboarding process for their residential tenants. This role plays a critical part in ensuring a seamless move-in and move-out experience by coordinating utilities, setting up resident portals, and providing exceptional support to tenants.
Key Responsibilities
Utility Coordination
- Contact utility companies to assist tenants with transferring gas, electric, water, and other services into their name prior to move-in.
- Process utility disconnections and return services to the property’s name when tenants move out.
- Track and document all utility transfer confirmations.
Resident Portal Management
- Set up and onboard new tenants to their resident portal (lease agreements, rent payments, maintenance requests, etc.).
- Provide ongoing support to tenants with login issues, payment questions, and portal navigation.
Communication & Support
- Serve as the first point of contact for tenant inquiries related to move-in/move-out procedures and portal access.
- Respond to emails and calls promptly and professionally.
- Escalate complex issues to the property management team when necessary.
Internal Collaboration
- Participate in weekly property management conference calls to provide updates on tenant onboarding status and troubleshoot recurring issues.
- Maintain clear and organized documentation of tenant communication and completed tasks.
Qualifications
- Strong organizational skills with the ability to manage multiple tenants and deadlines simultaneously.
- Excellent written and verbal communication skills.
- Comfortable with web-based platforms and capable of learning property management systems quickly.
- Customer-service mindset with patience and attention to detail.
- Prior property management, leasing, or administrative experience (preferred but not required).
Technology & Tools
- Proficiency with email, online portals, and common productivity tools (Google Workspace / Microsoft Office).
- Experience with property management platforms (e.g., AppFolio, Buildium, Yardi) is a plus but not required.
